A practical guide to matching a medical device with the correct product code and model, distinguishing current market-applicable IFU, and recording document conflicts.
In brief: Reliable document control means more than finding a brochure for the product family. Identify the manufacturer, model, reference or catalogue number, and—where available—the UDI of the device or component in hand. Then match that identity to the document number, revision, language, and intended market. Missing or conflicting information should not be filled by assumption: record the exact identifier or official document that is missing and request clarification from an authoritative source.
Why is one product name insufficient?
A single commercial family may contain different models, sizes, components, accessories, and market versions. A general term such as “pump”, “reservoir”, or “kit” does not identify a specific item. A human-readable catalogue/reference number and the UDI-DI on the label may use different formats; production identifiers such as lot, serial number, manufacturing date, or expiry date may also appear.
The European Commission explains that a UDI includes a device identifier (UDI-DI) and a production identifier (UDI-PI). The UDI-DI identifies a specific device, while the Basic UDI-DI links a device group in regulatory and technical documentation. UDI supplements existing labelling requirements; it does not replace them. [1]

The IFU contains controlled information such as intended purpose, intended users, indications and contraindications, warnings, residual risks, information needed for appropriate use, and—where applicable—compatible accessories or software. Annex I, Section 23 of the EU Medical Device Regulation requires manufacturer-supplied information to identify the device and provide information needed for safe use. [2]
Operating-room or user manual
This may provide controlled detail on preparation, components, or operation for a specific system. It does not apply to another model or revision merely because the title contains similar words. Its scope, product codes, and revision must be checked.
Brochure, product page, and training material
These sources may explain a product family and general characteristics, but they do not replace the official IFU. A feature, compatibility statement, or market claim in promotional material should not drive a clinical or operational decision unless it is verified in controlled product literature and against the identity of the item in hand.
Step-by-step product-to-document matching
- Identify the physical source: record the manufacturer and identifiers from the outer package, inner package, implant card, or product label.
- Transcribe the code exactly: preserve spaces, hyphens, prefixes, and suffixes; do not merge similar-looking codes.
- Verify the document source: prefer the manufacturer’s official e-labeling or controlled literature channel.
- Compare scope: confirm that the models/references listed in the document actually include the code in hand.
- Record the revision: document number, revision code, and publication date are separate fields; download date alone is insufficient.
- Check language and market: the same family may carry different indications, warnings, or regulatory text across regions.
- Complete the record: document where, when, and by which role the literature was verified under the institution’s procedure.
Boston Scientific’s eLabeling portal directs users to literature from the region where the procedure is performed and says literature should be reviewed before a device is used or implanted or follow-up care is provided. This is a practical reminder that a PDF found for another country is not automatically applicable locally. [3]
Three concrete but illustrative scenarios
Example 1: Family name present, product code absent
If an enquiry says only “documentation for a three-piece system”, the correct IFU cannot be selected. Ask for manufacturer, commercial family, component name such as pump/cylinder/reservoir, package reference, and market where the procedure will occur. This illustration does not imply compatibility for any actual product.
Example 2: Code matches, revision differs
The institution’s archived PDF and the manufacturer portal may show the same document number with different revisions. Confirm changed sections, effective status, and market scope before deleting the old file or applying the new file retrospectively. Record both document identities and the verification outcome.
Example 3: Brochure feature conflicts with IFU wording
If a general brochure statement appears to conflict with the product-specific IFU, the clinical team should not treat the brochure as controlling. State the product code, document number and revision, and the conflicting sections when requesting clarification through the manufacturer’s official channel; leave the uncertainty open until resolved.

- Manufacturer’s full name and the official source of the literature.
- Product family, model, catalogue/reference number, and UDI-DI where available.
- Separate identity of a component or accessory versus the main system.
- Document type: IFU, user/operating-room manual, safety information, brochure, or training material.
- Document number, revision code, and publication/effective date.
- Language, country/region, and applicability to the market of use.
- Confirmation that intended purpose, contraindications, warnings, sterility, MR, and compatibility sections belong to the identified product.
- Access date, verifying role, and unresolved discrepancies.
What do UDI databases provide—and not provide?
FDA AccessGUDID makes fields such as device identifier, brand, model, and selected safety or labelling data searchable. These records can support identity checks, but they do not by themselves supply the lot/serial details of the unit in hand, confirm local stock, or answer every clinical-use question. They should be read alongside the official product label and current IFU. [4]
How should missing or conflicting information be requested?
Replace “Please send the current document” with a verifiable request: state the product family and code, the document number/revision already held, country of use, information needed, and the discrepancy observed. Frequently asked questions
Is the newest dated PDF always the correct one?
No. First confirm that it covers the model/reference in hand and the correct market. A newer document may relate to another product or region.
Are catalogue number and UDI the same?
Not necessarily. A catalogue/reference number is a commercial product identifier; UDI-DI identifies a device model or variation in the regulatory system. Record both exactly as presented on the label.
Can a copy found online be used?
An unverified copy is uncontrolled. Confirm the same document identity through the manufacturer’s official portal or an authorised controlled channel.
